Roster Locking helps ensure payroll accuracy by preventing changes to shifts after a specific cut-off. It gives you control over when a schedule is final, and who can amend it.
Configuration Options
Roster locking can be disabled, but it’s recommended.
Locking Granularity
Roster locking can be applied by day or by week.
Permissions
Access to lock and unlock are independently configurable. Many organisations limit unlocking to Super Users or Payroll staff only.
How it Works
Locking the Roster
When a roster is locked, shifts become read-only and are approved for payroll.
The roster will not be locked if there are any outstanding unresolved:
- Pay Queries
- Unplanned Shifts
If your organisation uses documents and notes on absences, these can still be added in locked periods.
Daily Locking
To lock a day, all previous days must be locked.
Unlocking the Roster
Unlocking reopens the period for editing. This can only be done before payroll has been run.
Once payroll has been processed, changes must be made using Amendments instead.
Reporting
A Roster Approvals Report is available to track who locked or unlocked a roster and when.
