Roster Templates can be managed entirely through the Sona Admin area - no support request is needed. You can add rename existing Templates, archive ones you no longer need, and restore any that were archived by mistake.
This feature is governed by permission roles - if you don't have access to this and think that you should, please reach out to your Sona administrator.
Accessing Roster Templates
To open the Roster Templates screen:
- In the left-hand sidebar, click Organisation.
- In the expanded menu, click Admin.
- On the Admin dashboard, click the Roster Templates tile.
The Roster Templates screen lists all templates across your organisation, with the following columns:
- Name
- Org Unit
- Start Date
- Shifts
- Status
Searching for a Template by Name
To find a template quickly, use the Search by name… field in the top-left of the screen. The list filters in real time as you type.
For example, typing Days narrows the list to templates whose names contain that word. To clear the search and return to the full list, click the × icon on the right-hand side of the search field.
Filtering Templates by Location
Use the Locations with templates dropdown in the top-right corner of the screen to show only templates belonging to specific locations.
- Click the Locations with templates button to open the location panel.
- Tick one or more locations from the list (e.g. Bark Hill Supported Living, Brookfield Supported Living).
- Click the green Apply button.
The list will update to show only templates for the selected location(s). The button label changes to reflect how many locations are active (for example, Locations with templates (1)).
To remove the filter, open the dropdown again, deselect all locations (or click Clear), and click Apply. The button will return to displaying All locations with templates.
Archiving Templates
Archiving a template removes it from the active list without permanently deleting it. You can archive templates individually or in bulk.
Archiving a single template
Each template row has an archive icon (a bin symbol) on the far right. Click this icon to archive that individual template immediately.
Archiving multiple templates at once
- Tick the checkbox on the left of each template you wish to archive. A blue banner will appear at the top of the list confirming how many templates are selected (e.g. "2 templates selected").
- Click the Archive selected button in the top-right corner.
A confirmation message will appear at the bottom of the screen (e.g. "Successfully archived 2 templates"), and the archived templates will be removed from the active list.
Restoring Archived Templates
If you need to reinstate an archived template:
- Enable the Include archived toggle in the top-right corner of the screen. Archived templates will appear in the list with an orange Archived status badge.
- Tick the checkboxes for the templates you wish to restore.
- Click the Restore selected button in the top-right corner.
A confirmation message will appear (e.g. "Successfully restored 2 templates"), and the templates will return to Active status.
Renaming a Template
To rename a template without editing its shifts or structure:
- Locate the template in the list and click the rename icon (pencil symbol) on the far right of the row. A Rename template panel will open.
- In the Name field, edit the template name as required.
- Click Update to save the change, or Cancel to discard it.
The updated name will appear in the list immediately.
