Adding Shifts
You can add shifts for individual employees or open shifts which require cover.
Adding Shifts - For Employees
- Find the name of the employee you would like to add a shift for from the list on the left-hand side of the roster
- Select the day of the week you would like to add the shift for and click in the square on the staff member's row
- You will now see a pop-up on the right of your screen where you can add the details of the shift:
- The name of the staff member will show on the top left, in this example, we are adding a shift for Ervin Guerrero
- Date: The date of the shift will show in the top right-hand corner, this is determined based on the square that was selected from the roster. You can amend this or create the shift across multiple days by clicking on the calendar
- Shift times: You can then choose the start and end time of the shift, these drop-downs will show in hours and minutes
- Breaks: If your organisation has the breaks functionality enabled, you can choose to add an unpaid break to the shift
- Working Time: The working time of the shift will populate based on the start and end time of the shift, minus any breaks you have added
- Shift Type: Next you can select the shift type this staff member will be working
- Please note: Shift types will only show in the drop-down if the staff member is able to work those shift types. I.e. if I am a manager I will likely be able to work support worker shifts and manager shifts. If I am a support worker, I may not be able to work manager shifts.
- Location: The location will default to the roster you have added the shift from. You are able to amend this from the location drop down where you will see a list of all locations the staff member can work across
- Supported Person: The supported persons section allows you to link specific people being supported on this shift, click into the box to select who the shift should be assigned to.
- Please note: This is only relevant to the care industry.
- Skills/Attributes: If your organisation has the 'skills and attributes' feature enabled you will then be able to select which skills or attributes are required to work this shift
- Shift Description: Finally, the shift description will show at the bottom of the page. This is populated by default based on what was provided on set up however it is also a free text box so you can add any additional detail in here which will feed through to the staff member in the app.
Once you have inputted the details of the shift, click 'save shift' in the bottom right-hand corner:
You will now be taken back to the roster view where you can see the shift you have just created:
The shift will be in a draft state and will not be live for staff members in the app until you click publish in the top right-hand corner, under the name of the roster you are viewing
- To cancel creating a shift you can either click 'cancel' in the bottom right-hand corner, click the X on the pop up or simply click back onto the roster
- The system will then ask you to confirm you want to discard your changes
Adding Open Shifts
- Repeat the above process but instead of selecting a square in a staff member's row, select a square in the 'Open shifts' row.
- You will again be taken to the below pop-up but instead of the staff member's name populating it will ask "how many open shifts?" and give the option to increase the quantity to the right
- After entering the details and clicking save, open shifts will populate in the roster as below.
- Again, these shifts will be in draft so you will need to select publish to set them live for staff in the app.
- You can then drag and drop shifts to the staff member you would like to assign them to.
